# Approve quotes and other work

When your IT provider needs your organization's decision, it appears in the
portal and you get an email. Your answer is signed, so both sides have a
record of who decided what. This page covers approval requests, quotes, and
project milestones.

## Before you begin

- Answering approvals needs **Respond to approvals**, accepting quotes needs
**Accept and decline quotes**, and signing off milestones needs **Accept
milestones**. The **Approver** and **Owner** roles have all three.
- Accepting a quote or signing off a milestone commits your organization. It
can create an invoice for the amount shown.

## Find what is waiting for you

Select **Approvals**. It is one list of everything waiting for a decision:
approval requests, quotes, and project milestones. It opens on **Waiting for
me**. **All open** shows everything still open, and **Decided** shows the
rest. Items you can answer show **Your answer needed**, and a due date when
there is one.

## Answer an approval request

1. Open the request. It shows what you are asked, the amount if there is one,
who decides, and any answers so far.
2. Select **Approve** or **Decline**.
3. Under **Approve and sign** or **Decline and sign**, type your full name,
and optionally your job title. You can also draw your signature.
4. To decline, say why in **Why are you declining?**. Otherwise, a comment is
   optional.
5. Tick **I agree, and this is my signature.**
6. Select **Sign and approve** or **Sign and decline**.

The portal may ask you to confirm it's you first.

Some requests need more than one answer. **Who decides** says so: when
everyone asked must approve, one decline declines it, and the request shows
who has still to answer.

## Accept or decline a quote

1. Select **Quotes**, then the quote. **Waiting for you** lists the quotes that
   need a decision.
2. Read the quote. Where the quote offers options, such as a choice of plans,
an optional item, or a quantity you can change, pick what you want. The
totals update as you pick: what is due on acceptance, what is billed each
month, and what is billed later as milestones complete.
3. To accept, select **Accept**, which shows the amount due on acceptance,
then sign as above and select **Sign and accept**.
4. To decline, select **Decline**, optionally say why, and select **Decline
   quote**.

To ask your IT provider about it first, select **Ask a question**, which
starts a new ticket about the quote. **Download PDF** saves a copy.

A quote replaced by a newer version can no longer be signed. The page links
to the current version.

## Sign off a project milestone

1. Select **Projects**, then the project. A milestone ready for you shows
   under **Waiting for your sign-off**.
2. To accept it, select **Sign off**, type your name and optionally your job
title, tick to agree, and select **Sign off milestone**.
3. If the work is not finished, select **Not yet, send it back**, say what
still needs doing, and select **Send it back**.

The project page also shows its progress, its milestones, and updates from
your IT provider.
