Invite your team
Each person on your team signs in to the console with their own account. You invite them by email from Settings > Team, choose their role, and they set their own password from the invitation link. This page covers inviting someone, what to do when the email does not arrive, and disabling an account when someone leaves.
Settings > Team lists the people who sign in to the console. It is not the Users section, which lists the people who sign in to your endpoints.
Before you begin
Section titled “Before you begin”- You need
user:manage. Among the built-in roles, the owner and the support manager hold it. - Configure outgoing email so invitations are delivered. Without it, you pass each invitation link on yourself. See Configure outgoing email.
- Check your plan’s console user limit:
Invite someone
Section titled “Invite someone”On a plan with a console user limit, Settings > Team shows how much of it is in use above the list, for example 2 of 3 admin seats used. Active and invited accounts both count. When every seat is taken, the banner adds Inviting anyone else needs a plan with more seats. and Invite someone is not offered. An owner whose plan can be upgraded from the Outpost portal also sees Upgrade, which opens the portal.
- Go to Settings > Team.
- Select Invite someone.
- In Email, enter the person’s email address.
- In Name, enter their name. This is optional.
- In Role, choose the person’s role. If you hold
role:manage, every role you can give is offered, including custom roles. A role that holds permissions you do not hold is left out. Otherwise the choices are Technician, Support manager, and Owner. Only an owner sees Owner. See Roles and permissions for what each one can do. - Select Send invitation.
The console shows the invitation link either way:
- The invitation is on its way. The link below works too, in case it does not arrive. The email was sent.
- Outpost could not send the email, so pass this link on yourself. Copy the link and send it to the person by another channel.
The person appears in the list with the status invited. The link works for 7 days and only once. When they open it, they see Choose a password, enter a New password and Confirm password, and select Set password. Their account is then active and they can sign in.
Issue a new invitation link
Section titled “Issue a new invitation link”If the link expired or never arrived, select New link on the person’s row. The console shows a new link the same way. New link is offered only while the account is invited.
Disable an account
Section titled “Disable an account”Disable an account when someone leaves or should lose access for a while. Disabling signs the person out of every session at once, and they receive an email saying their account was disabled.
- Go to Settings > Team.
- On the person’s row, select Disable.
To restore access, select Enable on the same row. Enabling counts against your console user limit again, so it can be refused with Plan limit reached.
You cannot disable your own account. Your row shows You instead of the buttons.
Owners
Section titled “Owners”Only an owner can disable or enable an owner’s account. Anyone else is refused with “Only an owner can give, remove, enable or disable the owner role.”
An organization always keeps at least one active owner. If you try to disable the only active owner, the console refuses with That is the last owner. Give somebody else the owner role first.
Delete an account
Section titled “Delete an account”The console offers Disable but not delete. A disabled account keeps its
history and frees its place under your plan’s limit. To delete an account
entirely, an API client with user:manage can call
DELETE /api/v1/console/users/{userId}. The same owner rules apply.
Verify
Section titled “Verify”The People list on Settings > Team shows each person with their Status, Roles, Two-factor, and Last sign-in. A new invitation shows invited and Never for the last sign-in. Use the Status filter to list Active, Invited, or Disabled accounts.
If something goes wrong
Section titled “If something goes wrong”| Symptom | Cause | Fix |
|---|---|---|
| Invite someone is missing and the banner says Inviting anyone else needs a plan with more seats. | Every admin seat on your plan is taken by an active or invited account. | Disable an account you no longer need, or select Upgrade if you are an owner. See Plans and limits. |
| Plan limit reached when you invite or enable someone | Your plan’s console user limit is used, counting pending invitations. | Disable an account you no longer need, or move to a plan with a higher limit. See Plans and limits. |
| An account already exists for that address. | Someone with that email address is already on the team, perhaps disabled. | Find them with the Status filter and select Enable. |
| The person says the link does not work | The link is older than 7 days, or it was already used. | Select New link and send the new one. |
