Report starters and leavers
When someone joins or leaves your organization, send a request from the portal. Your IT provider gets everything they need in one ticket, so nothing is missed. This page shows how to send each kind and what happens next.
Before you begin
Section titled “Before you begin”- Sending a starter needs Request onboarding, and a leaver needs Request offboarding. The IT contact and Owner roles have both.
- A leaver request can end the person’s portal access. Once access has ended, only an owner or your IT provider can invite them again.
Report someone starting
Section titled “Report someone starting”- Select Starters and leavers, then Someone is starting. You can also choose it under Request type on the new request.
- Enter their Full name and their work email.
- Enter their First day.
- Under Equipment to set up, select Add an item for each thing they need,
such as
laptop with Office. - In Notes, add anything else, such as shared drives they need.
- Select Send request.
Report someone leaving
Section titled “Report someone leaving”- Select Starters and leavers, then Someone is leaving.
- If they use the portal, pick them under Pick them from your portal people. Picking someone ends their access to this portal. Choose They do not use this portal otherwise.
- Enter their Full name and their work email if you know it.
- Enter their Last day. Leave it empty if they have already gone.
- Under Equipment to collect, select Add an item for each thing, such as
laptop and badge. - In Notes, add shared drives, mailboxes to forward, and who takes over their work.
- Check the sentence that says when their portal access ends, then select Send request.
When a leaver’s portal access ends
Section titled “When a leaver’s portal access ends”| Last day | Their portal access ends |
|---|---|
| In the future | At the end of their last day. |
| Empty, or already passed | As soon as you send the request. |
When it ends, they are signed out, and any remote access they had ends with it. If nobody is picked, no portal access changes. Your IT provider handles the person’s other accounts as part of the request.
Follow a request
Section titled “Follow a request”Starters and leavers lists your requests. Each shows its status:
| Status | Meaning |
|---|---|
| Sent to your IT provider | Received. They have a ticket for it. |
| Being worked on | Your IT provider is working on it. |
| Done | Finished. |
| Canceled | Your IT provider canceled it. |
Open a request to see what you sent, when portal access ends, and Open the ticket to follow the work or add details.
