Set up time categories and daily targets

Two settings shape every timesheet: the time categories technicians log non-ticket time against, and the daily target each technician’s day is measured against. This page shows how to set up both. For how they count on a timesheet, see Targets, billable time, and leave.

  • You are on the MSP plan and hold psa:admin. By default only the Owner role does.

Select Timesheets > Settings. Time categories lists every category, with its Name, Kind, and Order.

Your practice starts with these:

NameKind
PTOLeave
SickLeave
HolidayLeave
AdminWork
Internal meetingWork
TrainingWork
TravelWork

The kind decides how a category counts:

  • Work is time spent working that is not on a client’s ticket or task. It counts toward the day’s target and in the Billable percentage, as non-billable time.
  • Leave is time not worked, such as PTO. It counts toward the day’s target, so a day of PTO meets it, but it never counts as billable and is left out of the Billable percentage.
  1. Under Time categories, enter its name in New category. Two live categories cannot share a name, whatever the capitalization.
  2. Choose Work or Leave in Kind.
  3. Select Add category.
  1. Select Edit on the category.
  2. Change its Name, its Kind, or its Order. Lower numbers list first, on the timesheet and in Add time.
  3. Select Save.

Changing a category’s kind changes how every entry already logged against it counts, including in past weeks.

Select Archive on a category you no longer want offered. It is gone from Add time, and every entry already logged against it stays on the timesheets it is on. Select Restore to offer it again.

Daily targets lists every technician with their Daily target, Monday to Friday. Saturday and Sunday have no target.

  1. Enter the technician’s target as hours and minutes, such as 7:30, up to 24:00. Enter 0 for no target at all, for example for someone who does not work set hours.
  2. Select Save, or press Enter.

A technician’s target is 8:00 until you change it. A change applies to every week that is not approved, including past ones, the next time the week is opened. An approved week keeps the target it was approved against; if it is reopened, it takes the current target.

  • A category you added appears in Add time under Other time, marked (leave) if it is leave.
  • A technician’s day strip shows their target on Monday to Friday.
