Fill in and submit your timesheet

Your timesheet already holds the time you logged on tickets and project tasks this week, on every client. This page shows how to check the week against your target, add the time that is missing, correct an entry, and submit the week so it can be approved. For how timesheets work, see Timesheets.

Select Timesheets > My timesheet. It opens on this week, headed Week of and the dates, such as Week of Oct 26 - Nov 1, 2026.

  • The arrows on either side of the dates move to the previous and the next week. This week brings you back.
  • If last week is still Draft or Returned, a warning says Last week isn’t submitted. Select Open last week to finish it.

The day strip shows one card per day, Monday to Sunday. Each card shows the day’s total against its target, such as 6:30 / 8:00, and a bar that fills toward the target. A day that has met its target is marked as met, and a day under it as short. A weekend day with no time shows no bar.

A day you have time off booked for on the dispatch calendar shows Vacation scheduled, Sick leave scheduled, Holiday, or Time off scheduled. The booking adds no time. Log the hours as leave with Add time if they count toward your target.

Below the strip, the week’s totals show:

  • Total, against the week’s target.
  • Billable, with the share of your non-leave time that is billable.
  • Leave.

The grid has a row for every ticket, task, and category you have time on this week, and a column for each day. Times are hours and minutes, such as 1:15.

  • Under Work are tickets and tasks, each with the client’s name. The ticket or task name opens it.
  • Under Other time are time categories. Leave categories carry a Leave chip.
  • Daily total at the foot adds up each day.

Use Add time for work you did not log as you went.

  1. Select Add time.
  2. In What the time is for, choose Ticket, Task, or Other time.
  3. Pick what the time is for:
    • Ticket: the Ticket list starts with the tickets you have worked this week and last, under Worked recently. To find another, type at least three letters in Find a ticket. It matches the beginning of a word in the subject, or a whole ticket reference, across every client. Matches are listed under Search results.
    • Task: the Task list holds the tasks you have worked this week and last, then the open tasks assigned to you.
    • Other time: choose the Kind of time, such as PTO or Training. Leave categories are marked (leave).
  4. Choose the Day.
  5. In Time, enter hours and minutes, such as 1:15, or minutes, such as 75. The most is 24:00.
  6. For ticket and task time, clear Billable if the time is not charged to the client.
  7. Optionally, enter a Note.
  8. Select Add time.

Ticket and task time added here is logged on the ticket or task itself, at noon on the day you chose, as if you had logged it there. The client’s agreement classifies it, and it shows on the ticket’s Time tab. The charge type is the agreement’s default. To choose another, log it from the ticket instead. See Log time on a ticket.

Select a cell in the grid to open that row’s entries for that day. The dialog is headed with the row and the day, such as #1051 VPN drops, Tue Oct 27.

  • Edit an entry to change its Time, its Note, or, for ticket and task time, Billable. Select Save.
  • Delete an entry and confirm with Delete.
  • To add more time to the same row and day, enter Add time and optionally a Note, and select Add.

An entry marked Invoiced is on a finalized invoice and has no Edit or Delete. A cell with no time on it shows Nothing logged here on this day.

When the week is complete, select Submit week. The state changes to Submitted, and the week appears on the approvers’ Approvals page.

You can submit the week in progress. A week that has not started cannot be submitted, and Submit week says This week has not started yet.

A submitted week stays editable until it is approved. If you change it after submitting, an approver who opened it before your change is asked to check it again.

To take a submitted week back before it is decided, select Recall. The week returns to Draft, and you submit it again when it is ready.

When an approver returns your week, it shows Returned by and the approver’s name, with their note saying what to fix. Make the changes, then select Submit week again.

An approved week shows who approved it and when, and Time in this week can’t be changed until an approver reopens it. The grid has no editing, and every attempt to change your time in that week, on the ticket or anywhere else, is refused. On a ticket’s or task’s Time tab, entries in that week show Approved timesheet and have no Edit or Delete. Ask an approver to reopen it. See What approving a week locks.

  • The day strip shows each day against your target, and Total matches the time you expect.
  • After you submit, the chip next to the week reads Submitted.
  • Ticket time you added from the timesheet is on that ticket’s Time tab.
